Every parent wants the best dental care for their child, but worrying about costs and confusing bills can make the experience stressful before you even walk through the door. Knowing how payment works ahead of time takes that weight off your shoulders and lets you focus on what actually matters during the visit: your child’s health.
At Kool Koala Pediatric and Adolescent Dentistry, we keep our payment process simple and transparent. Our team handles the behind-the-scenes work with insurance companies, explains your costs upfront, and offers flexible options so paying for your child’s dental care never becomes a barrier to getting them the treatment they need.
We want paying for your child’s dental care to be as straightforward as possible. Here is what we currently accept:
No matter how you pay, our goal is to make sure cost never stands in the way of your child receiving the care they need. If you have questions about a specific treatment cost, call any of our locations and our front desk team will walk you through it.
After your child’s visit, your insurance company processes the claim and determines what they will pay. If a balance remains, we send you a statement showing the services provided, what insurance covered, and what you owe. Our statements are designed to be clear and easy to read. If anything on your statement does not make sense, our billing team is happy to go through it with you line by line.
Payment for your child’s visit is collected at the time of service. If your child has insurance, we collect any applicable copay, coinsurance, or deductible amount when you check in or check out. For families without insurance, the full amount is due on the day of the appointment. Our front desk team will always let you know what to expect before treatment begins so there are no surprises at checkout.
Insurance processing can occasionally result in a different amount than the original estimate. This can happen if your plan has a remaining deductible, if a service is subject to a waiting period, or if your coverage changed between the time of the estimate and the date of service. When this happens, we contact you before sending a bill so you are never caught off guard.
If you receive a statement and need help, please call our office. We would rather work with you on a solution than have your child miss future exams and cleanings because of an outstanding balance. Our team can discuss payment arrangements so your child stays on track with their oral health.
Some children need dental work completed over multiple appointments rather than in a single visit. When this is the case, each visit is billed separately and a claim is submitted to your insurance after each appointment. Your out-of-pocket cost may vary from visit to visit depending on what services are performed and how your plan processes each claim.
Before starting a multi-visit treatment plan, our team provides an overall estimate so you can see the full picture. We also let you know approximately what to expect at each individual appointment. If your child’s plan requires pre-authorization for any part of the treatment, we take care of that before scheduling so there are no delays once the work begins. For children who need more involved care like hospital dentistry or treatment under sedation, we walk you through the entire process from authorization to final billing before the first appointment.
We understand that unexpected things come up, especially with kids. If you need to cancel or reschedule your child’s appointment, we ask that you give us as much notice as possible so we can offer that time to another family. When a patient does not show up and does not call, it means another child who needed that appointment had to wait longer.
We are not here to penalize anyone. Life happens, and we would always rather hear from you than have you skip the visit entirely. A quick call to reschedule keeps your child on track with their recommended dental care and helps us keep our schedule running smoothly for every family. If getting to appointments is a challenge, talk to our front desk team and we will do our best to find times that work better for your schedule, including our early morning availability.
Kool Koala Pediatric and Adolescent Dentistry was founded on the belief that every child deserves the best dental care available, regardless of financial circumstances. With Dr. Ballard, Dr. Wils, Dr. Movaghar, and Dr. Abdelrahim on our team, we provide comprehensive pediatric dentistry in a fun, comfortable environment. From preventive care to hospital dentistry, we are here for every level of treatment your child may need.
If you have questions about our payment policy, need help understanding a statement, or want to discuss your options before an upcoming visit, reach out to our team today.
Our team verifies your child’s insurance benefits before the visit and will let you know if there are any expected out-of-pocket costs. For procedures that require pre-authorization, we confirm coverage and share your estimated responsibility before scheduling so you can plan ahead.
We accept most major credit cards in addition to insurance. If your child’s treatment is not fully covered by your plan, our team can walk you through payment options at the time of service.
Most preventive and restorative services for children on Medicaid are covered with no out-of-pocket cost. However, if there was a change in your child’s enrollment status or if a service fell outside your plan’s coverage, a balance may appear. If you receive an unexpected bill, contact our office and we will review the claim with you to make sure everything was processed correctly.
If a claim is denied, our billing team reviews the reason and works with your insurance company to appeal when appropriate. We keep you informed throughout the process and will discuss your options if the denial stands. You are never left to handle it alone.
We understand that life with kids is unpredictable, and sometimes plans change. If you need to reschedule or cancel your child’s appointment, just give us a call as soon as you can. This allows us to offer that time slot to another family and helps us get your child rebooked at a time that works better for you. Rescheduling is always better than skipping a visit, because staying on track with routine cleanings and exams helps prevent bigger problems down the road.
We have six convenient locations across New Jersey and Northern Delaware, making it easy for your family to find quality pediatric dental care close to home.
